VeriClock & Sage 50 US (Peachtree) Accounting Integration Setup Guide
This comprehensive guide explains how to set up and configure the VeriClock Sage 50 US integration using the VeriClock Companion App. Learn how to install the Companion App, configure Sage 50 security settings, create ODBC data sources, and establish a secure connection between VeriClock and your desktop accounting software. Introduction
The VeriClock accounting integration tool has been designed to be a powerful, yet easy to use tool for you to synchronize VeriClock time sheets with your Sage 50 US software.
In order to import and export data, you will need to download the VeriClock Companion App and install that on your system.

Requirements
- Windows Vista , 10, or 11 running the latest updates
- .NET framework 4.0 or higher
- Ensure Sage version is Premium Accounting or higher.
Setup
The process of binding VeriClock data to your Sage 50 US company file is a one-time operation. Once the connection has been configured, you will not need to repeat the setup each time you export data.
VeriClock Companion App
The VeriClock Companion App is primarily used for integrating with desktop accounting software such as Sage 50. The companion app acts as a bridge between your accounting software and the VeriClock website. It is required to transmit data back and forth between the two.
To begin, log in to your VeriClock account and navigate to the Integrations tab. Select Sage 50 US and click Save. Once saved, a pop-up window will appear prompting you to download the Companion App that corresponds to your Sage 50 US version.
After the download is complete, install the Companion App on the computer that has access to your Sage 50 company file. Once installed, proceed with the Sage 50 US configuration steps below.
Sage 50 US Setup
Before connecting the Companion App to Sage 50 US, additional security settings must be configured to allow the application to access payroll and company data.
Open Sage 50 and ensure you are logged in as the Administrator while operating in Single User Mode.
- From the top menu, select Maintain > Users > Set Up Security.
- Select the Data Access/Crystal Reports tab.
- Under Access From Outside Sage 50, select With the following login information.
- Click Change and create a password (as shown in the picture below)
This password will be used later when connecting the VeriClock Companion App to Sage 50 US.
ODBC Setup
The VeriClock Companion App uses an ODBC connection to communicate with your Sage 50 company database.
Before proceeding, determine whether your computer is running a 32-bit or 64-bit version of Windows. If you are unsure, open the Windows Start menu and navigate to Settings > System > About. The System Type field will indicate whether your operating system is 32-bit or 64-bit.
Once confirmed, open the appropriate ODBC Data Source Administrator:
For 32-bit Windows, search for:
odbcad32
For 64-bit Windows, search for:
%systemdrive%\Windows\SysWOW64\odbcad32.exe
And click “Open”
When the ODBC Data Source Administrator window appears, click Add to the right to add the Pervasive database based on your company file.
Single User Environment
If your Sage company file is stored locally on the same computer:
- Select Pervasive ODBC Engine Interface and click Finish.
- The Pervasive ODBC Engine DSN Setup window appears. Enter a Data Source Name and select the Database Name from the drop-down list. The Database Name will appear as the company name in Sage 50. Click OK.
- The Data Source Name should now appear in the User Data Sources list.
- Click OK once the correct database has been selected.
Note: If multiple database names appear and you are unsure which one is correct, select a database and click Test. When prompted, enter the Sage password that was configured earlier. A successful connection indicates that the selected database is the correct company file.
Multi-User or Network Environment
If your Sage company file is hosted on a network server:
- Click Add, select Pervasive ODBC Client Interface, and click Finish.
- Enter a Data Source Name. This is simply a reference name that will appear within the Companion App. Many users choose to name it "VeriClock" for easy identification.
- Enter the server name or IP address where the Sage company file is hosted.
- Click Get List.
- If the connection is successful, available company databases will appear in the drop-down list.
- Select the appropriate company database and click OK.
Note: If you do not know your database name, please follow these steps:
- Find the folder path for your company file (ie. C:\Company\MyCompanyFileName
- There should be a file called CrystalReports.udl in this directory.
- Open the file with notepad.
- The database name can be found on the last line under “Data Source=databasenamehere”.
- Click OK after you select your database.
- You will now be able to use the new ODBC connection in a 3rd party application of your choice that supports ODBC.

Launching the VeriClock Companion App
Now that the Sage 50 US and ODBC configurations are complete, you are ready to launch the VeriClock Companion App.
You can launch the Companion App either through the VeriClock website by clicking Launch within the Sage 50 US integration settings, or directly from the desktop shortcut.
When prompted, enter the Sage credentials that were configured earlier. The username will always be Peachtree, and the password will be the one created during the Sage 50 security setup.
After clicking Confirm, the Companion App will attempt to connect to your Sage company file. We recommend keeping Sage 50 open during this process, as you may be prompted to log in to your company file or grant access to the Companion App.
Once the connection is successful, the Accounting App status within the Companion App will display Connected, as shown in the screenshot below.
Connecting VeriClock and Sage 50 US
Once the Companion App is connected to Sage 50 US, return to the VeriClock website and click Launch within the Sage 50 US integration settings.
A confirmation prompt will appear asking whether you would like to connect VeriClock to the Companion App. Click Yes to continue.
The Companion App should now display both VeriClock and Sage 50 US as Connected. If either connection displays Not Connected, please contact the VeriClock Support Team for assistance.
The Companion App must remain running in the background while performing imports, exports, and synchronization tasks between VeriClock and Sage 50 US.
Binding Employees
Click on the Employees tab to bring up the Employees screen on your browser.
The employees will be imported from your accounting software and shown in the list. The name of the employee is shown on the left-hand side.
Before choosing which employees you wish to bind, click the checkbox on the left side of their name. For any employees that you do not wish to bind, leave the checkbox unchecked.
On the right-hand side, there is a drop-down where you can select which employee to bind to. Only one VeriClock employee can be bound to an employee in your accounting software. If you do not see the name of the VeriClock employee that you want to bind in the dropdown, it may have been associated with another employee on your list.
If you have an employee in your accounting software that has not yet been created in VeriClock, we can do that for you. Just change the dropdown to Create.
Once you are satisfied with your changes, press the Synchronize button to finalize the bindings. When the page reloads, the employees that have been bound are noted with a “chain link” icon on the right side.
You may also choose to synchronize everything which will allow VeriClock to synchronize every item in the list.
Binding Customers/Jobs
The bindings are done similarly to employees. If you already have employees in VeriClock, you can bind them by choosing the appropriate name under the “VeriClock Name” column. Don’t forget to click the checkmark on the left side next to the job before you synchronize!
Binding Payroll Items
The bindings are done similarly to employees and jobs. Please see above for more details. Payroll items in VeriClock bind to the payroll items that are set up in Sage under Maintain -> Payroll -> Payroll Settings -> Company Information -> Pay Type
Binding Service Items/Activities
The bindings are done similarly to employees and jobs. Please see above for more details.
Managing Bindings
If you have made an error or wish to remove your saved bindings, you can do so under the Manage Bindings tab.
Click on each category to expand the view. From there you can see which employees, jobs, payroll items, or service items have been bound. To unbind, just simply click the red Unbind button on the right side.
Settings
There are many options in the settings view that you can use to customize for importing and exporting data between your accounting software.
Please note. Not all options are available for all accounting software products.
Time Activities
Set all events to Billable
This sets the time sheet to billable when we export to your accounting software.
Send customer/job codes with time activity if set
If a job has been set in an employee’s time sheet, VeriClock will export this data to your accounting software. If there is none set, we will not export one. Please note that depending on your company file’s configuration, a job may be required for time sheets.
Send service items with time activity if set
If a service item has been set in an employee’s time sheet, VeriClock will export this data to your accounting software. If there is none set, we will not export one. Please note that depending on your company file’s configuration, a service item may be required for time sheets.
Apply service item rules on export
This option will only apply to time sheets that do not have a service item set. If checked, VeriClock will determine the best matching service item for you based on the rules set. You can configure service item rules in the main Settings tab under Service Items.
Export Clock in/Out Report
This option is to send all the clock in/out reports that you have attached to your timesheets in Vericlock to Sage. Clients majorly use this for customer invoicing.
Sorting Options
You may choose to sort your data on each of the data tabs alphabetically.
Time Adjustment Options
The Time Adjustment Options page can be found by clicking the main Settings link at the top of the screen, then clicking Time then Time Adjustment. You can use these options to adjust the number of hours when exporting time to your accounting software.
Round Clock In Time
The clock in time can be rounded up, down or to the nearest interval based on your needs.
Round Clock Out Time
The clock out time can be rounded up, down or to the nearest interval based on your needs.
Add/Subtract
For each shift, you can choose to add or subtract hours if a shift has reached a certain threshold.
Note: If you are using scheduled deductions, it is STRONGLY recommended you do not use add/subtract rules.
Scheduled Deductions
Scheduled deductions will subtract time from your employee’s work shifts starting at the specified time, but only if the employee has worked a certain number of hours. The deduction will be taken from all shifts starting at the specified time until the total amount has been deducted.
Note: If you are using add/subtract rules, it is STRONGLY recommended you do not use scheduled deductions.
Example:
The Rule: Deduct 0.5 hours when employee has worked 8 hours. Deduction starts at 12:30 pm
Employee Shifts: 10:00AM – 12:45PM, 2:00PM – 7:15PM for a total of 8 hours.
The Deduction: Since the shift has been broken up, the system will take 15 minutes off the first shift and 15 minutes off the second shift.
Syncing Time
Click the Time Activities tab.
Under the Options section you can select some options to filter out only the time sheets you wish to sync to your accounting software.
Sync Filter
All Time
This syncs time sheets that are either approved or unapproved.
Only Approved Time
This syncs time sheets that are approved only.
Only Unapproved Time
This syncs time sheets that are unapproved only.
Employee Filter
You can choose to either include or exclude a set of employees here. Multiple employees can be chosen from the Employee List dropdown.
Job Filter
You can choose to either include or exclude a set of jobs here. Multiple jobs can be chosen from the Job List dropdown.
Dry Run
This dry run will perform a mock run of the time sheets that will be synced in your accounting software. If there are any errors, it will be revealed in the results window. Please ensure that all the data looks correct before exporting to your accounting software.
Note: It is a good practice to perform a dry run prior to any live time syncing.
Sync Time
This performs the actual time syncing with your accounting software. Please note that this process may take some time, so please allow it to finish before doing anything else in VeriClock.
Note: It is a good practice to back up your accounting software data prior to any export of data from 3rd party tools.
Sync Results
The summary of time events to sync will be shown here when performing a dry run or a live sync. If there are any issues for events prior to syncing, they will be displayed in red with the error message listed under Notes. If there are any errors in any events, none of the events can be synced.
Timesheets in Sage
To find timesheets in Sage, please open Sage and go to “Employee & Payroll” and then select “Time and Expense Ticket”
Troubleshooting
These are the possible errors and what you can do to resolve them.
Employee is not synchronized with (Your accounting software name)
The employee in VeriClock has not been bound to any employee in your accounting software. You can create bindings from the Employees tab in the integration tool.
Employee (Your employee name) not found in company file
The employee that the VeriClock employee has been bound to was not found in the company file. Please check if the employee exists and is set to active.
Service item (Your service item name) is not synchronized with (Your accounting software name)
The service item in VeriClock has not been bound to any service item in your accounting software. You can create bindings from the Service Items tab in the integration tool.
Service item is not set in clock event
The service item is required to push data to your accounting software, but it wasn’t set in the clock event. You can add a service item by editing the clock event.
Job (Your job name) is not synchronized with (Your accounting software name)
The job in VeriClock has not been bound to any job in your accounting software. You can create bindings from the Jobs tab in the integration tool.
Job is not set in clock event
The job is required to push data to your accounting software, but it wasn’t set in the clock event. You can add a job by editing the clock event.
This event is time guarded and must be addressed
Time guarded events require admins to review them before using in reports or time syncing. To resolve this, you must edit the clock event and fix the clock out time to the correct value. Once you are done, click Save and the event can now be used in time syncing.
A payroll item is required
Payroll items are required when exporting time to Sage 50 US. You can set one by setting up custom payroll items rules. This is found in the VeriClock website under Settings -> Payroll Items -> Rules.
