We take customer feedback very seriously here at VeriClock and we are thrilled to announce a number of product updates that have been requested by many of our customers.
This release expands time off management with enhanced seniority-based accrual rules, improved carryover settings, and refined balance controls. These updates help organizations automate leave policies while protecting payroll integrity.
1. Administrators and Managers can now create time off requests on behalf of employees and cancel previously approved time off requests.
By navigating to Time --> PTO --> Approve Requests, an Administrator or Manager can simply create a request on behalf of an employee.
Simply select the employee and the type of time off and click Create. You will then have the option to select the dates and number of hours off. Note that after a request is created, you will still need to approve the request and the employee can edit the request if changes are needed. This feature can be helpful especially when an employee may not have access to a phone or computer to make the request themselves.
On the same page, an Administrator or Manager can Cancel previously approved requests.
If a previously approved request is canceled, the hours that were approved are automatically added back to the employee's balance. You can also leave a comment for the employee to review.
2. Administrators and Managers can leave comments when declining a time off request.
If you need to decline a time off request (or cancel a previously approved request), it is important to let the employee know why and what changes will be accepted. Each time off request now allows the employee and the administrator/manager to leave comments and messages for the other person to review. All comments are tracked in the balance history and can be reviewed at a later date. Having clear communication when it comes to time off requests can greatly reduce the chances of future discrepancies and conflicts.
3. Creating Clock Events after approving a time off request.
For companies that use VeriClock Time Off Tracking feature for paid leave, it is important a clock event is created to pay out the employee for paid time off. This is so that the time is recorded and included in your payroll reports.
You can now simply create clock events for each of the days that an employee has been approved to take time off.
From the approval screen, you can now choose to only Approve the time off request or Approve and Create Clock Event(s).
If you choose to Create Event(s), the events will be assigned the Job and Service Item you select (and if required by your company settings). The Clock Events that are created can then be viewed in reports and exported for payroll.
Note that this feature needs to be enabled by going to Settings --> PTO --> Settings.
4. Time Off Requests and Notifications can be sent as In-App Notifications.
Previous to this upgrade, notifications for time off, approvals, declines, and cancellations were only available via email. To enable in-app notifications, simply go to Settings --> PTO --> Settings and check on the box shown below.
