Q: I installed the VeriClock Companion App but see “Companion App Not Found” when connecting to QuickBooks Desktop. Why?
A: If you open your companion app by clicking on the on your Windows toolbar and see the Accounting App Status shown as connected, click on ‘Launch’ again to resend another connection request. This message usually prompts if it exceeds the system time limit to confirm the connection with QuickBooks.
Q: I have done a dry run and some of the time events are shown in pink. I tried to synchronize the hours without error messages, why can’t I find those time events in my QuickBooks?
A: To successfully synchronize the time events, you need to ensure all events are ready to sync, which means you need to either resolve all errors or filter out the erroneous time events. Otherwise, none of the events will be imported into your QuickBooks.
Q: I have changed my QuickBooks company file, how do I switch the company file?
A: To do so, follow the below steps:
- Close the companion app (if opened), then open the new company file in QuickBooks Desktop.
- Connect with Vericlock as before. If you receive messages in QuickBooks Desktop regarding access, just go through the same steps described in QuickBooks Setup in the starting guide.
- Then, make sure you go to QuickBooks->Manage Bindings and remove all the existing bindings. This includes Employee, Job, Service Item, and Payroll Item (if applicable). After that, you will need to bind them with the items you have in the new QuickBooks file.
Q: Do I need to be in single-user mode to sync?
A: No—syncing works in both single-user and multi-user modes. The only time single-user mode is required is during the initial setup, when granting third-party access to the companion app.
Q: I’m trying to connect VeriClock with QuickBooks and need the certificate that grants permission to the companion app. Where can I find it?
A: To obtain the third-party access certificate in QuickBooks Desktop, you must first ensure you have admin access to the company file. Without admin access, you won’t be able to grant permissions to the companion app.
If an admin is logged in but still cannot see the certificate, please have them navigate to:
Edit → Preferences → Company Preferences → Integrated Applications
From there, the admin can manage and grant the necessary permissions to the companion app.
Q: I have made some changes to a job in QuickBooks, will those changes be applied to the bound job in VeriClock?
A: Any changes you make in QuickBooks after binding jobs will not be reflected on the corresponding VeriClock jobs. You’ll need to make those changes in VeriClock manually.
Q: I have already bound my jobs/service items, why does VeriClock still tell me the job/service item is not synced?
A: Search the job or service item in your VeriClock account, be sure to use the keyword instead of the full job name in case you have created a duplicate job/service item with similar but different names. Then check Time -> Add Time - Grid and see if the affected employee selected the synced job. If not, change it to the synced job and dry the dry run again.
Q: I am trying to bind my QuickBooks job with an existing VeriClock job, why can’t I select its corresponding VeriClock job and only show ‘Create’?
A: Click ‘Manage Bindings’ and see if the VeriClock job is already linked to another QuickBooks job, if so, click ‘unbind’ and try to bind it again.
Q: I have my QuickBooks installed on a server, can I still use the integration?
A: Absolutely. Just make sure you install your browser and the companion app on the same server.
Q: I’ve just finished syncing timesheets—where can I find them in QuickBooks Desktop?
A: After your timesheets have synced successfully, you can find them in QuickBooks Desktop by following these steps:
- Open QuickBooks Desktop
- Navigate to Employees > Enter Time > Use Weekly Timesheets
3. Next, select the appropriate date range from the calendar and choose the employee’s name from the dropdown menu. The timesheet for that week should then appear (as shown in the screenshot below).
Q: When I run the dry run, everything is shown in green, but when I click on ‘sync time’ the results are all shown in red. Why is that?
A: Click and expand any of the error events and see if you see any of the below code:
