Learn how VeriClock manages phone and SMS time-clock permissions by linking authorized numbers to employees and defining group-level restrictions. This article outlines how to configure access rules that control who can clock in or out via call or text, improving security and compliance.
Phone/SMS clock access rules can be setup to:
- Block employees from clocking in from certain phone numbers (Blacklist). One common use of blacklist is to prevent an employee from calling from their cell phone to clock in.
- Allow employees to clock in from specific phone numbers only (Whitelist). One common use of whitelist is to require employees to clock in from a landline phone at the job location. If a job location has multiple phone numbers, each phone number can be added and marked to whitelist that phone number.
- Flag when employees call from blocked phone numbers or call from phone numbers not set as allowed, while still allowing the employee to clock in (Flag Only). This rule is commonly used to alert admins when an employee clocks in from an incorrect phone number, but to still allow the clock in/out to occur.
- Assign a specific job when an employee clocks in from a specific phone number (Add Job Based Rule). This feature is commonly used to associate specific phone numbers to specific jobs, allowing the employee to be auto-clocked into a certain job when they clock in using the job-assigned phone number.
To add phone numbers for clock in/out clock access rules, go to the tabs Settings → Extras → Clock Access Rules.
- Click the circle next to blacklist, whitelist or the square next to flag only, and click the Add button to create a rule for clock in/out relating to a specific phone number.
- Enter the phone a phone number and reference name for each rule created.
- Click on the blue Save button to save the rule.
- Only one phone number can be added each time you click on the add button and remember to click blacklist, whitelist of flag only for each phone number added.
- If adding separate rules to blacklist some phone numbers and whitelist other phone numbers, then see the Common Logic section. This section can be accessed by clicking on the blue question mark to the right of Clock In/Out Access Control Rules (also located above the red Delete Rule button).
To add a Job Based Rule to auto-assign a job when clocking in from a specific phone number:
- Click on the blue Add Job Based Rule button at the bottom of the page.
- Select a job based on this rule you are creating.
- Enable Blacklist, Whitelist or Flag Only for this job rule being created.
- Add a phone number for this job based rule.
- Add a name relating to this phone number entered.
- Click the blue Save button to save the job based rule.
