The scheduling feature is a way to keep track of employee schedules, view when an employee is working, or track employees scheduled to work on a particular job within a day.
Enable Scheduling in your Account
Go to your account tabs Settings>Scheduling>check the box to Enable Scheduling Feature>click the blue Save button at the bottom of the page.
Create a Shift
Click on a square under a date in the calendar to schedule a shift for an employee on that day, or click on the + icon in the upper right corner of the scheduling page.
Add Shift Options
- Shift Title - Name the shift (optional). Having a reference name can make it easier at a glance, to remember details about a shift.
- Job - Select a job for this shift. Adding a job can be used to ensure a job/task/project is scheduled to be performed on a specific day. Note - that a shift must have either a Job or an Employee assigned to it.
- Colour -Choose a color to associate with this shift (the color displayed will be applied to this shift by default if no color is selected). Colors can be used as a way to visually track a job, group or employee.
- Employee -Select the employee(s) or group(s) this shift will be scheduled for. Note - that a shift must have either a Job or an Employee assigned to it.
- Service Item -Select the service item for this shift (optional). A service item is a way to track a sub-job or sub-task scheduled to be performed on a specific day.
- Shift Start Date & Shift End Date - Select the start and end date this shift will take place (Required fields).
- Shift Start Time - Set the start time for this shift (Required).
- Shift End Time - Set the end time for this shift (Required).
- Total - Total time duration of the shift will display once a start and end time has been set.
- Time Zone -Time zone can be changed for employees working in a different time zone. This field will default to the Time Zone set in the account.
- Repeat - Enable to make this shift repeat daily, certain days of the week.month/year. Shift can be set to repeat forever, until a specified date or for a specified number of times. If Repeat is left unchecked then the shift will not repeat.
- Add Alert - Alerts can be used to notify employees of an upcoming shift, if they forget to clock in, or if they forget to clock out. Alerts can be set per scheduled shift or for all shifts globally. See Settings>Scheduling to create global alerts that will apply to all shifts by default.
- Notes - Any notes relevant to the shift or notes detailing tasks to be completed during the shift.
After entering the shift details, the user can:
- Cancel - Click cancel to exit the add shift page without saving.
- Publish -Publish will save the scheduled shift and publish it for viewing.
- Save Draft -Save Draft allows you to pause and finish scheduling this shift at a later time without losing any details added. Draft shifts will NOT be visible to employees in My Schedule view.
