Learn how to identify and resolve overlapping time entry conflicts in VeriClock when editing or correcting employee hours. This guide explains common conflict scenarios, why overlapping events cannot be saved, and the correct order for editing or deleting time entries using the Add Time Grid and Activity views to ensure accurate timecards and payroll.
A time conflict will occur if there is any overlapping time event. Below are 2 scenarios where you may run into time conflicts and how to fix them:
Example 1:
Employee forgets to clock out at lunch, clocks out at 2:12pm and then back in to create 2 time ranges, and lets their employer know it needs editing. In the “Add Time-Grid Tab” Employee’s time event 7am - 2:12pm show as 7.2 hours, and 2:12pm-3:30pm shows as 1.3 hours. The time event needs to be changed to employees actual time which are 7am-12pm then 12:30pm-3:30pm
Add Time Grid view Admin wants to edit:
When the Admin goes to edit the 1.3hrs, and changes the time to 12:30pm-3:30pm the edited time event overlaps the 7am-2:12pm time event the error will appear when Admin hits the save button. When a time conflict occurs, you can not save the time events.
In order to correct the time event you must change and save the earlier time event first so that there is no overlap occurring.
Example 2
Employee clocks out for break, but doesn’t end up taking their break at that time, clocks back in a few minutes later continues working and clocks out later for break. The employee lets his employer know that he was actually working through that time event. His hours show as clocking in at 7:30-11:02am, then 11:08am-12:50, and lastly 1:45-4:10pm. This image shows the Add Time -Grid with 3 time events:
The Employer wants to edit the first time event to be 7:30am-12:50pm and remove the 11:08-12:50 time event. A problem will occur if the time that needs to be removed is not done first. In this example the employer attempts to change the time in the the first time event and hits save, an error occurs as it is overlapping the second time error. The Employer then tries to set the second time event to 0.00 hours by changing the time event to 11:02-11:02. Unfortunately, there is still a time event for 11:02am even though it is zero minutes. There are still 2 time events overlapping.
In order to delete the second time event, you must go to the Activity tab. If you close your Add Time - Grid changes will be lost. To avoid this you can open the Activity view in another window by right clicking the Activity tab and choosing open link in new tab or window.
Open the Activity view and navigate to the time event by choosing the date under Search Period--> Custom Range and set the date, and/or use the Advanced Options to select the Employee, this will take you right to the event.
When you click on the time event it will open more details below where you can choose to delete time. Click the red Delete button and then the red Yes button that pops up.
You can now return to the Add Time - Grid tab and save proper time events, the deleted events will disappear when you click Save at the bottom of the page.
