Managing Photo and File Storage Capacity for Time Entries

Learn how to manage photo, file, and activity note storage in VeriClock to ensure clock in and out photos and notes continue uploading without interruption. This guide explains how to view storage capacity, review and download activity notes, images, and videos, delete older files, and add additional storage when needed.

Photo & File Storage >Activity Notes

VeriClock offers up to 1 GB of FREE file storage. Additional storage of 10 GB per month is offered at an additional cost. To view storage capacity or add capacity click:  Settings →Extras → File/ Photo Storage.

Files, notes, images and videos use storage space in accounts. The system provides a warning when space is close to capacity and you will want to free up some of that  space. So that the incoming Activity notes and clock in out photos are not blocked from being uploaded to your account. You have 3 options when it comes to making room for your next photos and files:

1. Purchasing an additional monthly storage plan.
2. Downloading your photos to your computer.
3. Deleting older images that you no longer need

Viewing and Downloading Photos & Files

To review the photos and text files in your account, click on the tabs Time → Activity Notes. Enter your search date range, choose optional Employee or Job filters and click the blue Search button at the bottom.

Any files, images, and / or videos in storage for the selected parameters will appear. As a default the option to include notes with files and include text notes are checked. These options allow you to review the larger photo files first, and you may want to keep Text Notes in the account longer. 

Images and notes can be viewed and downloaded, if required, before deleting from the account. Remember you may have activity note text files going into a report. Be sure to save or download those reports before deleting the files. Deleting Note, Photo, & Video Files

Photos/ files can be deleted all at once by clicking the top selection box, or individually by clicking the box next to the date of items you want to delete. After choosing what to delete click Delete Selected.

Note** Ensure all notes, photos, videos you want to keep are downloaded and saved outside of the account before deleting.

Storage capacity can be reviewed after deleting photos/ images. Go to Settings → Extras → File/ Photo Storage (see first image at the top).
