Learn how managers and admins can review, edit, and approve time events in VeriClock to prepare accurate time data for payroll. This guide explains approval permissions, filtering and reviewing clock events, bulk or individual approvals, and how to resolve common issues when events cannot be approved or edited.
Managers and admin can approve time events as a way to mark which events have been reviewed and are ready for payroll. To approve time events, Managers need approval permission enabled for them and will need to be set as a manager of the employees they will be managing. See Adding a Manager and Group - User Roles.
**Separate from the approval feature, managers can also sign off on employee timesheets with a signature. See Setting up Employee Timesheet Sign-off for more information**
Clock events can be approved when logged in from a web browser from the tabs Time>Activity> Select a search period>Click the blue Search button.
Filter Your Activity Page Search
Your search can be filtered to limit what time events are displayed on the page. To filter your search, make a selection from the filter dropdowns.
Filter options include:
- Group & Employees
- Jobs
- Service Items
Additional filters are also available by clicking the blue +Options button
- Filter by Approval - This option allows you to only see non-approved/approved events to identify any events that still need approval.
- Filter by Warnings - The page can be filtered to identify any warnings that may have triggered such as timeguard auto-clock outs or geofence violations
- Show Conflicted Offline Activity - This filter can also display any deleted clock events.
Click the blue Search button after selecting filter options to view clock events in the selected date range.
Approve Clock Events
Clock events are available for approval as soon as an employee clocks out. Click on an individual clock event to view the details of that event. Before approving a clock event, you may edit the event as needed. **If you are unable to open a clock event, then edit permission may not be available for managers in your account.** See Setting up Time Approval for more information on approvals.
All clock events displayed on the page can be approved by checking the top select all box, or individual clock events can be selected and approved on a per event basis.
After checking the box for events that need to be approved, click the Approve Selected button.
Approved clock events display a check mark indicating that clock event has been approved and is ready for payroll.
Why Can't I Approve A Clock Event?
When approving an event, an error message will pop up if you do not have permission to approve clock events. Check with your account administrator to see if approval permission is available for managers in your account.
Why Can't I Edit A Clock Event?
Individual clock events may need to be unapproved before editing that event. Check the approval box for an event that needs to be edited, and click the Unapprove Selected popup button that displays at the top of the clock event. Edit the clock event as needed and approve the event again for payroll.
