Learn how to send welcome emails to new or existing employees in VeriClock using individual profiles or bulk upload. This guide explains how to export and import employee data, trigger welcome emails in batch, and confirm delivery using email logs to ensure employees can create their login passwords successfully.
When adding new employees, you can send a welcome email to each employee so they can create a login password. The welcome email can be sent out individually from the employee profile, or to employees in batch using the export/import bulk upload located in the tabs Employees>Export.
Click the word: Field to deselect all columns. Next, select the following fields: GUID, ID, First Name, Last Name, and one other field you are not using. For this example Address 2 is selected, since it is less commonly used in the employee profile. **GUID must be selected when importing a template containing employees who are already in your VeriClock account.**
Scroll down to the bottom of the page and click the blue Export CSV button.
Open the file you just exported. Change the address column name to Send Welcome Email. Write 1 for each employee you want to receive a welcome email. Enter a 0 for employees who shouldn't get a welcome email, or delete the employee row from the template to exclude them. Save your template so it is ready for upload.
Next click Import in your Employees tab, and find the template you just saved. Employees being sent a welcome email will have a check mark in the Send Welcome Email column.
Click the blue button that says Import xx Items. That button will list the number of items you are about to import.
After clicking Import, you will get a confirmation - confirming the number of items successfully imported.
Lastly, confirm the employee welcome email went out from your account tabs Help>Email Logs>click Search. The Status column will show any emails delivered or not sent. If an email is not sent, return to the Employees tab and check the employee's email address in their employee profile for a typo.
**Employees must have an email address listed in their employee profile to be sent a welcome email.**
