Learn how to manually create and edit time entries in VeriClock using the Add Time and Add Time Grid tools. This guide explains how to add single or multiple shifts, enter time for future dates, copy recurring hours, use duration or start/stop entries, and review manually created events in the Time Activity page to ensure accurate time tracking and payroll reporting.
When time events need to be created manually, they can be created in three ways from the Time tab of your web browser.
- Time → Add Time
- Time → Add Time Grid
Add Time
Add time can be used to create time events for a single employee, one shift at a time.
- Select the employee to add time for.
- Select a job code if used in your account.
- Select the shift day, start time and end time.
- To leave the employee clocked in, click the box next to Leave Employee Clocked In.
- Enter a clock in and clock out report if needed or to leave notes for the employee to view.
- Enter edit notes if needed. Edit notes are private notes not viewable by employees. Only admin and managers with permissions can view edit notes.
- Click save to save a time event.
Add Time Grid
Add time grid can be used to create time events for an entire week at one time.
- Time can be added for multiple jobs worked in a single day.
- Employee time can be added for multiple days at once.
- Click on the Multi-Create tab to create time events for multiple employees at the same time. See Manually Enter Time for Multiple Employees.
- Hours can be copied from a previous week for creating recurring clock events. See Copy Worked Hours From A Previous Week.
- Hours can be added for future dates by entering duration events without a start/stop time. See How to Clock out an employee in the future.
To use Add Time Grid:
- Select the employee.
- Select the week by clicking on the blue arrows on one side of the week displayed.
- Select the job, if jobs are tracked in your account. If unable to select a job, then jobs are not turned on in your account.
- Select the service item if service items are tracked in your account. If unable to select a service item, then service items are not turned on in your account.
- Click on a day to add time for that day.
- To add additional jobs worked for a single day, click the blue Add button and add time for the day on the new line.
- Time can be added for multiple days during the week displayed.
- Enter a clock in and clock out report if needed or to leave notes for the employee to view.
- Enter edit notes if needed. Edit notes are private notes not viewable by employees. Only admin and managers with permissions can view edit notes.
- Click save before navigating from this page to save any changes made.
When clicking on a grid day to add time, an edit shift popup will appear for adding start/stop times. Once times are added the total hours will be updated in the daily total, along with the total hours for that grid row. To enable/disable start/stop times, go to Settings-->Time-->clock in/out time can be disabled or enabled under Allow employee to create time with section. *Disabling/enabling this option will affect manually adding time from the app.*
When adding duration events, ignore the edit shift popup and type the hours directly into the grid day. After a duration is added, the daily total and total hours for that grid row will be updated. To enable/disable duration events, go to Settings-->Time-->duration events can be disabled or enabled under Allow employee to create time with section. *Disabling/enabling this option will affect manually adding time from the app.*
Once Time events have been created, you will be able to view them from the Time → Activity tabs. The pencil icon shows that these time events have been created manually.
Clock events can also be edited directly off the Time → Activity tab, click on the event you want to edit and then click the blue Edit button.
To view details for any time worked, click on the event to open it. Scroll down to Edit History to see information noting whenever an event has been manually created, edited, or approved. Notes include a timestamp showing who manually created/edited/approved the event.
