Custom Fields in VeriClock let you capture additional task, compliance, or data inputs at clock in and/or clock out and attach them directly to time records for reporting. Admins can create Number, Text, or List fields from Settings → Custom Fields, control when and how they appear (web/app, phone, SMS), set them as optional or required, and limit visibility by employee, group, or job. Employee responses can be added as columns to any report template—where numeric fields can be totaled—and displayed on the Time Activity dashboard, enabling flexible data tracking, better oversight, and more insightful reporting without disrupting time entry.
To create a custom field, go to Settings → Custom Fields → click Add Custom Field and select a custom field type depending on use.
There are three types of custom fields:
- Number field-can be used to track numbers or figures and attach them to a time record. To create a Number field, see the VeriClock guide: Custom Fields - Number Field
- Text field-can be used for specific topics of text to be added to time records. To create a Text field, see the VeriClock guide: Custom Fields - Text Field
- List fields-can be used to add a list to the clock in/out screen for employees to select an item from a dropdown list, or for a banner ad to display on the clock in/out screen. To create a List field, see the VeriClock guide: Custom Fields - List Field
Custom field options:
- Used For: Clock In and/or Clock Out -this way each custom field can be displayed on the clock in and/or clock out screen.
- Used when Clocking In/Out by: Web/App, Phone call/IVR, Text/SMS - to be applied to a specific clock in/out method: web/app, phone or SMS.
- Field is only available to admin/manager when editing or creating a clock event: You can set a custom field for admin/manager only, so an admin/manager would update the field by either creating, or editing a time event, and choose to allow/disallow employees to view what was entered for that field.
- Field is Optional/Required on Clock In/Out: Optional or Required - A custom field must either be set as optional, or required so that employees will not be able to clock in/out without entering something into this field.
- Field available for everyone: A custom field can be applied to all employees, or to a specific job, group or employee.
- To set up a custom number field, follow the steps above.
- The name of any custom field is what the employee will see when they clock in/out.

By default a custom field will be set as turned on for everyone. To limit who will see a custom field, deselect the box next to ‘ Field available for everyone’ and enable specific jobs, groups and/or employees this custom field will populate for.

Adding Custom Fields To A Report Template
Custom fields can be added as a column to any report. Custom field columns are accessible from the bottom of the displayed field box when customizing a report template. Any notes, list items or numbers added to a custom field at clock in or clock out will show up in a report when the corresponding custom field column is added.
Once the user clocks out, the custom field data entered by the employee will be available.
When the custom field column is added to a report template, number custom fields can be totaled for the custom date range the report is generated for.
