Learn how to clock out an employee and enter future or estimated work hours in VeriClock without creating time conflicts. This guide explains how to close an active shift, add duration-based hours using the Add Time Grid, and create future time entries so payroll can be processed accurately when employees are still working.
From time to time (specifically around pay dates) you may be required to clock out an employee who is currently working and assign the employee hours that they are likely to work.
Because all time events are time stamped for when they occur or for when they are created and since future time events cannot be time stamped, they need to be entered without a specific start and stop time to prevent conflicts from occurring.
Step 1) Go to the tabs Time → Activity.
- Clock the employee out by clicking on the blue clock out button.
- Enter any relevant notes about this shift for admin to refer back to.
- Click the blue Save button to successfully clock the employee out.
Step 2) Edit the shift from the tabs Time → Add Time Grid.
- Select the employee.
- Click on the shift you wish to edit.
- Enter the Hours the employee will work for the day. All hours entered on this page will display in decimal format. i.e. 30 minutes = .5 in decimal format.
- Enter any notes relating to the shift that will be edited.
- Click on the day being edited to view the total hours worked for the day.
- Click the blue Save button at the bottom of the page.
- The time the employee would have worked until had they clocked out later in the day, should now be successfully saved and totaled below the day edited.
- If the total hours for the day are not correct, adjust the time entered in the shift, then click outside of the shift box you are editing to get an updated subtotal for the day. Save any changes needed before navigating away from this page.
How to Add Time For A Future Date
- To create a time event that will occur at a future time, go to the tabs Time → Add Time Grid.
- Search for the employee to create time for.
- Click on the blue arrow to the right of the date to scroll to the correct date.
- Add the job they worked on.
- Click on the day the time will be created for.
- Enter the time the employee worked on that day. (from the add time grid tab, time is entered in decimal format. i.e. 30 minutes = .5 in decimal format.
- Enter any needed notes relating to the shift.
- Scroll to the bottom of the page and click the blue Save button.
