Learn how to use Time Guard alerts in VeriClock to automatically clock out employees who forget to clock out and prevent excessive or unintended time entries. This guide explains Time Guard rule options, notification settings, how auto clock outs affect timecards, and how managers or admins can review and correct Time Guard events for accurate payroll.
Timeguards can be used to autoclock out an employee who forgets to clock out. When a timeguard triggers, the clock in/out event duration will be calculated at 0 hrs until that clock event has been edited with the corrected clock out time. This alert rule is intended as the last measure to prevent an employee from being clocked in all weekend, and requires admin/manager action to correct the clock out time. It is recommended to set a duration alert to trigger prior to a timeguard alert, to give employees a chance to clock out naturally. see Alerts - Duration for more information.

Rule options:
- Auto clock out at specific time of day -if employees specified in alert rule are still clocked in at time specified, the timeguard rule will auto clock out all employees specified in rule. The time of day should be after the employee would normally clock out at.
- Auto clock out after specific number of hours - if employees specified in alert rule are still clocked in after specified number of hour duration, the timeguard rule will auto clock out all employees specified in the rule.
- Do not zero time entries - this option can be used to auto clock out employees when triggering this alert and to auto apply that end time/duration to the employee's timecard. With this option, the clock event wont be flagged and will be ready for payroll immediatly after the timeguard triggers. Note: Employees who are auto clocked out will not be able to fill out fields on their clock out page.
- Do not notify - if checked then no one will be notified when this alert rule triggers. The timegauard will still trigger according to the rule conditions, however no notification will be sent each time it triggers.
If 'Do not zero time entries' is unchecked, then when a timeguard triggers, the time event will be set to a duration of 0h 00m and the shift duration will not be available in a report until the time event is edited by an admin or manager with the correct clock out time. To use the exact time when a timeguard triggers as the default employee clock out time, then check: Do not zero time entries.
How to Resolve a Timeguard Alert
Go to the tabs Time --> Activity --> click on Search Period to select a search period --> Timeguard events display in pink to highlight a correction is needed. Click on the timeguard clock event to open it -->
Click on the blue Edit button -->
The shift must be saved to remove the timeguard. Either adjust the Shift End Date/Time to the correct clock out time for that employee's shift + Save, or click the blue Save button to save the auto clock out time as is.
Once a timeguard has been edited, it will show as a green edited event. The event duration will display for the actual number of hours worked.
