VeriClock supports three types of employee notes tied to time events: Clock In/Out Reports, Activity Notes, and Edit Notes. Clock In/Out Reports capture comments entered at punch time, Activity Notes allow employees to submit time-stamped text, photos, or file attachments during a shift, and Edit Notes provide private admin or manager documentation stored in Edit History. All notes can be reviewed from the Time > Activity and Time > Activity Notes pages, filtered by date, employee, or job, and selectively included in custom reports to improve visibility, documentation, and audit readiness.
There are two places employees may add notes to their clock event when they are working:
1. Clock In Report/Clock Out Report -Clock reports are notes added at the time of clock in or out. This report field is often used by an employee to note additional information about daily tasks, an incident that occurred during the work day, or to communicate if a clock in/out time needs to be adjusted. On the Time>Activity page, the icon is displayed when an employee has added a report at the time of clock in or clock out.

2. Activity Notes - Activity notes are text, photos, or file attachments that are added while a clock event is in progress. Activity notes can be uploaded throughout the day and are time stamped when each note is sent. This note field is often used to submit photos of a location before or after work is completed, or to add notes while they are still fresh. See How to Enter Activity Notes & Photos.
On the Time>Activity page, theicon is displayed when a text activity note has been added to the clock event. The
icon is displayed when an employee has uploaded a photo or file attachment.

3. Edit Notes - Edit notes are notes that only admin and managers with edit permission have access to review. When an edit note is added and saved in a time event, the note will disappear from the note field box and will only then display in the Edit History at the bottom of each clock event.
View Employee Notes or Reports
Navigate to the tabs Time>Activity>enter your Search Period>click the blue Search button. One of the note/report icons will display on a clock event whenever a note/report has been added.
1. Clock In/Clock Out Report
- From the Time>Activity page, hover your mouse over the
icon to read the report an employee entered at clock in and/or clock out.
2. Activity Notes
- View activity notes added to individual clock events from the Time>Activity page>click on an individual clock event displaying one of the activity note icons
or
to open the clock event> scroll down to the Activity Note section (available only if an activity note was submitted during the clock event).
- View all activity notes from the Time>Activity Notes page. From this page, activity notes can be viewed by date range and filtered by employee, by job, or for all employees & jobs within that date range. Activity notes can also be deleted on an individual basis by checking the box to the right of each note, or by selecting some/all notes displayed on the page.
3. Edit Notes
- Edit notes can be viewed from the Time>Activity page. Click on an event to open it and any edit notes will display at the bottom of the clock event under the Edit History.
Enable Employee Note Columns in Reports
Employee notes can be added to any report template from your Reports>Reports tabs. You can use an existing template or create a new one. Click the blue button and scroll down the Displayed Fields box to find the clock report, edit note, or activity note columns as needed.
The Activity Notes column is a little further down, past the Clock In Report and Clock Out Report columns.
Once the note/report columns are enabled, scroll to the bottom of the page and click the blue Preview button.
After the report displays, click View Full Screen to view your report in full within a new tab.
Employee notes are displayed in the clock event they were entered. For activity notes, only the text displays in the report. Photos and file attachments display a tag for reference that a photo or file was added. Photos and attached files can only be reviewed from the Time>Activity Notes tab.
If one of the employee note fields is not being used by your employees, it can be unselected in the displayed fields column before saving your report template.
To save your report template for future use, return to your original report tab and click the Save Template button. If editing an existing template, click Save. If creating a new report template, rename your report and click the Save As New Template button. It is recommended to give your report a name that will make it easy to find at a later date.
