Learn how to use the Offline Clock feature in VeriClock to allow employees to clock in and out without an internet or data connection. This guide explains how to enable offline clocking at the account or employee level, sync offline events when connectivity is restored, monitor sync status, and avoid time conflicts to ensure complete and accurate payroll data.
This feature is often used by employees who do not have data available on their phone, for users who work in an area outside cell phone coverage, or for employees who work in an area where cell reception is blocked. The offline clock will enable them to clock in and out, but the employee will need to sync those offline events to your account when data or internet coverage resumes.
* Web browser clock in/out using internet access is not accessible when offline.*
Enable Offline Clock
To use the offline clock feature, it must first be enabled in your account. To enable or disable the offline clock, go to the tabs Settings → Time→ scroll down to the section under Offline Clock → after enabling this feature, scroll to the bottom of the page and click the blue Save button to save any changes. If selecting Use Employee Settings, then see the section below to enable on a per employee basis.
Use Employee Settings
If enabling offline clock on an employee basis, first set the offline clock to Use Employee Settings (see above) and then navigate to the employee’s profile → click on the Employees tab → click the blue Edit button to the right of the employee name → Click on the Advanced tab → at the bottom of the page check the box next to Can Use Offline Clock → click the blue Ok button to save any changes. When using employee settings this will need to be done for each employee using this feature, before each user will have access to clock in from the app without a connection.
Sync Events
Once the offline clock is enabled, the user can clock in and out from the app as normal regardless of whether or not they have a data connection.
Every offline clock event is stored in the app until the employee:
- First returns to an area with data/internet coverage +
- Secondly, reopens their app or selects Sync Events in the menu.
The employee’s time will not be visible in your account until the employee uploads their events by syncing them. It is recommended that the employee get into the habit of syncing their phone at the end of every work day if they don't always have a data connection.
When using the offline clock, the user can see their offline status by clicking on the app menu → the bottom left corner of the menu screen will show offline status in red and online status in green. **Some features in that app can only be accessed with a data connection.**
View last successful sync
After clicking on Sync Events in the app menu, the user will be able to see when the last successful sync was completed.
**If the user does not sync their offline events regularly, then multiple conflicting time events can result. **
**Time events may be missing from payroll periods until the user successfully syncs their time events to the employer account.**
Offline Clock Disabled -No connection Error Message
If the offline clock feature is disabled in your account, then app users will not be able to clock in or out if they do not have a data connection.
